Governance & Child Safety Policy Register

Macclesfield Pony Club Inc adopts and operates under the policies of:

  • Pony Club Australia (PCA)
     

  • Pony Club Victoria (PCV)
     

These policies are formally adopted by Committee resolution and apply to all members, riders, parents, volunteers and officials.

CHILD SAFE POLICY & CODE OF CONDUCT

Macclesfield Pony Club Inc adopts:

  • PCA Safeguarding Children & Young People Policy
     

  • PCA Code of Conduct
     

  • PCV Child Safe Policy (Victoria specific requirements)
     

Our Commitment

Macclesfield Pony Club Inc is committed to:

  • Providing a safe environment for children and young people
     

  • Zero tolerance for child abuse
     

  • Complying with Victorian Child Safe Standards
     

  • Ensuring all volunteers hold a valid WWCC
     

All members must comply with the Code of Conduct.

 

WORKING WITH CHILDREN CHECK (WWCC) COMPLIANCE

Macclesfield Pony Club Inc requires:

  • All committee members
     

  • All coaches & instructors
     

  • Rally helpers working directly with children
     

  • Event officials
     

to hold a current Victorian Working With Children Check.

The Club Secretary maintains a WWCC Register including:

  • Name
     

  • WWCC number
     

  • Expiry date
     

  • Verification date
     

No adult may work with children without verification.

 

MEMBER PROTECTION POLICY

Macclesfield Pony Club Inc adopts the PCA Member Protection Policy.

This covers:

  • Discrimination
     

  • Harassment
     

  • Bullying
     

  • Victimisation
     

  • Inappropriate behaviour
     

  • Inclusion and respect
     

All complaints are handled in accordance with the PCA National Integrity Framework.

 

COMPLAINTS & GRIEVANCE PROCEDURE

Macclesfield Pony Club Inc follows the PCA Complaints, Disputes & Discipline Policy.

Local Process:

  1. Complaint submitted in writing to the Club President or Secretary.
     

  2. Matter acknowledged within 7 days.
     

  3. Committee reviews and attempts informal resolution where appropriate.
     

  4. If required, matter escalated to PCV or PCA under the National Integrity Framework.
     

  5. All complaints handled confidentially.
     

 

DISCIPLINARY POLICY

Macclesfield Pony Club Inc may take disciplinary action where a member breaches:

  • Code of Conduct
     

  • Safety rules
     

  • Child Safe Policy
     

  • Member Protection Policy
     

Possible actions include:

  • Verbal warning
     

  • Written warning
     

  • Suspension
     

  • Termination of membership
     

  • Referral to PCV/PCA
     

 

BULLYING & HARASSMENT POLICY

Bullying and harassment are prohibited at:

  • Rally days
     

  • Competitions
     

  • Camps
     

  • On social media
     

  • Any Pony Club activity
     

Examples include:

  • Verbal abuse
     

  • Exclusion
     

  • Intimidation
     

  • Online harassment
     

All behaviour must reflect Pony Club values of respect and sportsmanship.

 

SOCIAL MEDIA POLICY

Macclesfield Pony Club Inc requires that:

  • All online communication reflects Pony Club values.
     

  • No offensive, discriminatory or abusive content is posted.
     

  • Photos of children require parental consent.
     

  • Disputes are not aired publicly.
     

  • Official club pages are managed by approved administrators.
     

Online behaviour is governed by the Code of Conduct.
